Admin Assistant

Job Description and Requirements
  • Present a professional first point of contact to internal and external visitors in relation to the division.
  • Respond to enquiries accurately, filter incoming telephone enquiries, provides routine advice and forward requests/calls/complaints to respective respondents.
  • Direct preparation of records such as agenda, notices, minutes and resolutions for the Director’s meetings.
  • Record, type and edit letters, reports, and prepare documents for the Office as necessary.
  • Coordinate the reception of guests to the division, determine visit purposes, take messages, and arrange for alternative appointments.
  • Operate routine office equipment (e.g. faxes, telephones, copiers, scanners, email, binders) and maintain a supply of consumables.
  • Organize and maintain an efficient filing system to ensure that archiving is in compliance with the agreed filing procedures.
  • Perform reservation services for various function activities (e.g. conference rooms, meeting halls) and other logistic services as required and in collaboration with respective parties.
  • Maintain confidentiality of matters relating to the division and follow processes and procedures in respect of records and premises.
  • Liaise with the relevant departments to ensure availability of sufficient stationeries and supplies for all employees
